Committee Notices, Reports,

Executive & Chapter Meeting Tidbits

*Reports should all have the same heading  - for audit purposes - see attached. Also, the month listed in the heading of the report is the month the Exec Committee/Chapter Meeting are held. If reports are emailed to the chapter – only pertinent information needs to be communicated to the chapter during the meeting.

  • Committee reports should be sent to the Basileus & Grammateus no more than 10 days following a committee meeting, unless the meeting is held during the last week of the month.

  • Committee/Officer reports and Executive/Chapter Meeting minutes will be sent to all chapter members at least a week prior to the Exec/Chapter Meeting, when possible.

  • Executive and Chapter Meeting notice(s) will be sent to the chapter at least 10 days prior to the Executive Meeting.

  • If you are unable to attend the Executive Meeting in person, please call in. A quorum must be present in order for the executive committee to transact business and act on any issues. The call in number is always at the top of the Executive Committee Agenda.

  • Committee meeting dates: (if a change is needed, please inform me ASAP and the calendar will be checked for availability)

  • When sending committee meeting notices, send to the chapter at least a week in advance....gives Sorors time to add to their schedule.

  • When sending committee meeting notices, please send to the entire chapter. Someone may get the urge to attend a committee meeting and join the committee.

  • When making a recommendation – must bring it to the chapter as a committee recommendation, not from an individual.
